Privacy policy
Last updated: 26 September 2026
We keep this simple: we only ask for what we need to run the studio, we do not sell your details to anyone, and you can ask us to remove them at any time.
Who is responsible for your information
Tracy Hare, trading as The Potty Hare, is responsible for the personal information collected through this website. She is a sole trader, based at Unit 3, Evans Business Centre, Lingfield Way, Darlington DL1 4QZ.
Contact us at info [at] pottyhare [dot] com about anything on this page.
What we collect, and why
- Booking a class: your name, email address and phone number, along with the class and date. We need these to hold your place, send your confirmation and reminders, and get in touch if a date changes.
- Buying a piece: the same, plus your delivery address when you ask for delivery.
- Messages: anything you write in our contact form, so we can answer you. Messages are saved as well as emailed, so nothing gets lost.
- Mailing list: your name and email address, only if you ask to join.
- Signing in to My bookings or the admin: your email address, and a record of sign-in requests so we can stop misuse.
- Counting visits: we keep a count of pages viewed, which page, which site you arrived from, and whether you were on a phone, tablet or computer. There is no name or address in it: you are recognised for one day only, by a scrambled code made from your connection and browser, which cannot be turned back into either. Tomorrow you count as a new visitor.
- Signing in: we record each successful sign-in to the admin or My bookings, with the email address, time, IP address and browser, so we can spot anything odd.
- Technical records: our hosting keeps standard server logs, including IP addresses, to keep the site running and secure.
We never see your card details. Payments are handled by Stripe on their own pages.
Our reasons in law
- To provide what you booked or bought (performance of a contract): bookings, orders, confirmations and reminders.
- Our legitimate interests: answering enquiries, keeping records of who is coming, and keeping the site secure.
- Your consent: marketing emails. You can withdraw it at any time.
- Legal obligation: keeping sales records for tax.
Emails we send
We send booking confirmations, reminders before your class and order updates, because you have booked or bought something. We only send studio news if you have joined the mailing list, and every one of those has an unsubscribe link at the bottom.
Who else sees your information
- Brevo sends our emails on our behalf.
- Stripe takes payments. They handle your card details, not us.
- 20i hosts this website and its database, in the UK.
- Google Fonts serves the two typefaces this site uses, which means your browser asks Google for them and Google sees your IP address. Google says it does not use these requests to identify or advertise to you.
We do not sell or share your details for anyone else's marketing.
Cookies
This site uses a small number of cookies, and all of them are needed to make it work. There are no analytics, advertising or tracking cookies, which is why you are not asked to accept anything. We do count visits, but that is done on our own server, with nothing stored on your device and nothing shared with anyone else.
- phs keeps your visit together while you fill in a form, and protects forms from misuse. It ends when you close your browser.
- ph_account keeps you signed in to My bookings for up to 30 days.
- ph_admin keeps studio staff signed in to the admin.
- phs_preview lets invited people see the new site before it launches.
Stripe sets its own cookies on its payment pages, which are covered by their privacy notice. If we ever add analytics, we will ask your permission first.
How long we keep things
- Bookings and orders: six years after the end of the tax year they fall in, because tax records require it.
- Enquiries: two years after we have answered them.
- Mailing list: until you unsubscribe or ask us to remove you.
- Visit counts and sign-in records: twelve months, then deleted automatically.
- Sign-in requests: a short period, to spot misuse.
Your rights
You can ask us to show you what we hold about you, correct it, delete it, or stop using it in a particular way. You can also withdraw consent for marketing at any time. Just email info [at] pottyhare [dot] com and we will reply within a month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk, or by calling 0303 123 1113.
Children
Bookings should be made by an adult. Where a class is suitable for children, we ask for the adult's contact details rather than the child's.
Changes to this policy
If we change how we use your information, we will update this page and change the date at the top.
